Document Controller

We are seeking an enthusiastic and motivated Document Controller to join our team, based in Lae and reporting directly to the Quality Systems Manager.
The Role
As a Document Controller, you will play a vital role in maintaining and managing the company’s documentation and compliance systems across Paradise Foods.
Key Responsibilities:
Documentation Control & Compliance
- Manage and maintain the Documentation Control Procedure across PFL.
- Ensure all company documents comply with internal policies and regulatory requirements.
- Monitor document version control, updates, approvals, and accessibility.
- Train and guide staff on proper documentation practices and compliance requirements.
Reporting Support
- Assist the Group Compliance Manager in preparing monthly divisional reports.
- Compile, analyse, and consolidate data from multiple sources for accurate reporting.
- Track progress on key compliance metrics and identify areas of concern.
Coordination & Meetings
- Support the Group Compliance Manager in coordinating monthly Action Tracker Meetings.
- Prepare agendas, track action items, and ensure timely follow-ups.
- Maintain meeting records, minutes, and status updates on compliance actions.
Training Management
- Maintain and update the Training Register for the Quality Systems Department.
- Track completion of mandatory and refresher trainings for all staff.
- Assist in reporting training compliance to management.
Continuous Improvement
- Identify gaps and propose improvements in document management and training practices.
- Ensure alignment with industry standards and organizational compliance frameworks.
- Assist in audits and compliance assessments related to documentation and training.
About You
We are looking for someone with:
- A degree in Applied Science, Chemistry, or Food Technology.
- 3–5 years’ experience in a similar role within an FMCG business (preferred).
- Strong background knowledge in food processing, ingredients, microbiology, and regulatory standards.
- Excellent problem-solving, analytical, and organizational skills.
- Proficiency in MS Excel, Word, and other Microsoft applications.
- Ability to work independently and under pressure while managing multiple tasks.
- High attention to detail with strong technical competency.
- Great communication, teamwork, and interpersonal skills.
