Quality Systems Coordinator

Paradise Foods Limited is seeking an enthusiastic, motivated and experienced Quality Systems Coordinator to join our team.

Reporting to the Quality Systems Manager, the Quality Systems Coordinator will play a key role in ensuring compliance with industry standards, maintaining quality system documentation, coordinating audits and training, supporting reporting processes and fostering a strong culture of quality, food safety, health and occupational safety across the business.

The Role

1. Documentation Control & Compliance

  • Manage and maintain the Documentation Control Procedure, including master lists of controlled documents for departments across each PFL site.
  • Ensure all company documents comply with internal policies, procedures and regulatory requirements.
  • Monitor document version control, updates, approvals, accessibility, usage and compliance.
  • Train and guide staff on proper documentation practices and compliance requirements.
  • Support Production and QC teams with quality systems queries and clarifications.

2. Reporting Support

  • Assist the Quality Systems Manager in preparing monthly reports for the assigned site.
  • Compile, analyse and consolidate data from multiple sources to ensure accurate reporting.
  • Track progress against key compliance metrics and highlight areas of concern.

3. Coordination & Meetings

  • Support the Group Compliance Manager and Quality Systems Manager in coordinating monthly Action Tracker Meetings for the division and department.
  • Prepare agendas, track action items and ensure follow-up on decisions.
  • Maintain meeting records, minutes and status updates on ongoing compliance actions.

4. Training Management

  • Maintain and update the Training Register for the Quality Systems Department.
  • Track completion of mandatory and refresher training for all staff.
  • Assist in reporting training compliance to management.
  • Conduct QA-related training and awareness sessions.
  • Conduct compliance inductions for new employees, contractors and visitors.

5. Auditing & Risk Assessments

  • Prepare and communicate audit plans to auditees across assigned sites.
  • Conduct internal audits and prepare and cascade audit reports to relevant stakeholders.
  • Support risk assessments and compliance evaluations.
  • Monitor audit findings and follow up on corrective and preventive actions.
  • Assist with internal and external audit activities as required.

6. Continuous Improvement

  • Identify gaps and recommend improvements in document management, training and compliance practices.
  • Ensure alignment with relevant industry standards and organisational compliance frameworks.
  • Assist with audits and compliance assessments relating to documentation, training and quality systems.
  • Contribute to continuous improvement initiatives across quality and food safety systems.

About You

The successful candidate will have:

  • A Bachelor’s degree in Food Science, Microbiology, Chemistry or a related field.
  • Minimum 3–5 years of experience in a quality assurance role within the food production industry.
  • Proven experience implementing and managing HACCP, FSSC 22000 or other food safety management systems.
  • Knowledge of OHS and environmental standards.
  • Hands-on experience with internal and external auditing processes.
  • Strong knowledge of regulatory compliance and industry standards including GMP and ISO standards.
  • Certification in HACCP, FSSC or ISO standards will be an advantage.
  • Experience in a leadership or supervisory role within a quality assurance team.
  • Demonstrated success in leading quality improvement initiatives and projects.
  • Familiarity with Statistical Process Control (SPC) and quality management software.
  • Proficiency in Microsoft Office Suite.
  • Experience managing customer and supplier quality interactions, including handling complaints and implementing corrective actions.
  • Strong communication, coordination, analytical and problem-solving skills.
  • A strong commitment to quality, food safety, compliance and continuous improvement.
